

The Soothing Season Agreement

About the workshops
The Soothing Season is a structured six-week online art therapy workshop programme inspired by nature and the ways nature can support resilience, reflection, creativity, and emotional wellbeing.
Each session explores a different theme from nature and includes guided visualisation, art-making, and reflective discussion within a small supportive group.
Groups are limited to a maximum of six participants to help create a calm and containing space.

Structure
The programme consists of six weekly two-hour online group sessions.
Each session includes:

Art-making and creative reflection

Optional sharing and group reflection

Access to Padlet for sharing artwork during sessions
The workshops run in six-week cycles. You may book as many cycles as you wish.

Group participation
This is a shared creative space where participants are invited to engage with care, curiosity, and respect.
Participants agree to:

Treat one another with kindness and respect

Allow space for others to share at their own pace

Respond to others’ work in a supportive way (e.g. sharing what you notice or what resonates with you)

Speak from your own experience rather than interpreting others’ work
-
Respect differences in experience, identity, and creative expression

Help maintain a non-judgemental environment where there is no “right” way to respond or create

Join sessions from a private space where possible, using headphones if needed
Sharing is always optional. Many people find sharing artwork and reflections a meaningful part of the process, helping them feel connected and witnessed. You are always welcome to participate in the way that feels right for you on any given day.

Suitability
These workshops are not suitable for crisis support or trauma processing. If the group is not appropriate for your needs, alternative options can be discussed.

Booking and payment
The workshops are booked as a six-session block (£330).
Payment is made either in advance or by agreed instalments. Your place is confirmed once payment is arranged.
This is a fixed programme and payment covers the full six-session block. No refunds are given for missed sessions or if you choose to end early.

Emotional impact
At times, this work may bring up thoughts or feelings between sessions. This is a natural part of reflective creative work.
The programme offers a contained space for this process. You are encouraged to take care of yourself between sessions.

Attendance
You are booking a place in a small closed group for the full six weeks. Consistent attendance supports both your process and the group.
Missed sessions are not rescheduled.
If I am unable to attend, I will rearrange the session where possible or refund that session if not.
Sessions begin and end at the agreed time.

Online sessions
Sessions take place online. You are responsible for joining from a private and appropriate space where you feel able to engage safely.
If others are present, this may affect the depth of the work and we may need to pause or reconsider the session.
You are responsible for your device and internet connection. If your connection fails, the session continues as scheduled. If mine fails, the session will be completed at no extra cost.

Padlet and shared artwork
Padlet is used to share artwork and reflections during sessions.
Participants agree not to:

Screenshot, record, copy, download, or distribute others’ work

Share Padlet content outside the group

Share identifying information about other participants
All artwork remains the property of the person who created it.

Confidentiality
Confidentiality is central to creating a safe group space.
Participants are asked to keep what is shared in sessions and on Padlet within the group and not share identifying details about others outside the group.
You are welcome to share your own reflections from the workshops in your personal life, as long as others are not identifiable.
Confidentiality in group settings cannot be absolutely guaranteed.
Confidentiality may need to be broken where there are concerns about risk of harm, safeguarding, or legal obligations. See Privacy Notice for details.
Phones and electronic devices
To support focus and confidentiality:

Please silence phones and notifications

Recording (audio, video, screenshots) is not permitted

Please avoid unnecessary use of phones or other devices during sessions (e.g. calls or texting)
I do not record sessions.

Social media
I maintain a professional and art-based online presence.
To protect confidentiality:

I do not engage with group participants about therapeutic work on social media

I do not offer therapy or respond to personal messages via social platforms

All communication about sessions is via email only
I will not acknowledge participants online or discuss personal matters via social media.

Emergency information
At the start of the work, I will ask for:

Your location during sessions

An emergency contact

Your GP details
As sessions take place online, confirming your location enables me to contact emergency services if needed.
If emergency services are contacted during a session, I will also contact your emergency contact to let them know what has happened.
Your GP details are held as a precaution, in line with professional practice, and would only be used in rare and serious circumstances where additional support is needed.
